Claims are won on records and lost on memory. Eighteen months after an incident, nobody remembers which physio appointment cost what, or the date of the call where the adjuster said the thing you now want to quote.
This is a plain spreadsheet with four sheets and no macros. It is deliberately boring — the point is that you will actually keep it up.
What is inside
- Documents sheet: what you hold, where it came from, date requested
- Expenses sheet: date, provider, amount, paid or outstanding, receipt held
- Mileage sheet: journeys to treatment and appointments, with a running total
- Communications log: date, who, channel, what was said, what was promised
How to use it
Start it the same week
Backfilling six months later is where most of the value is lost.
Log calls immediately after
One line, while the wording is fresh. This is the sheet attorneys value most.
Keep the receipts as well
The log tells you what exists; it does not replace the document itself.
Common questions
Will this work in Google Sheets or Numbers?
Yes. It is a plain workbook with no macros or add-ins, and imports cleanly into both.
Do I have to track mileage?
In matters where travel to treatment is claimable it can add up to a meaningful sum, and it is impossible to reconstruct later.
